Faded receipt? How to recover it and how to prevent it next time
A faded receipt can often be recovered with a high-contrast scan, side lighting or careful heat. What works, what makes it worse and how to prevent it next time.
In short: A faded receipt can often be recovered as long as some trace of the print remains: with a high-contrast scan, with light from the side or behind, or carefully with heat, which darkens the thermal paper evenly and leaves the printed text visible as lighter areas. If the receipt is completely blank, your only option is a replacement such as a bank statement, a copy from the shop or a self-written receipt. The safest approach is to scan every till receipt right after the purchase.
Most people know the moment: the receipt for the coffee machine is still in the drawer, but the print is nothing more than a grey shadow. Or your accountant asks for a receipt from spring and you are holding a blank strip of paper. That is not carelessness on your part; it is the technology behind the receipt.
This article explains why thermal paper fades, which methods can bring a weak receipt back, which ones you should avoid, and what to do when nothing works any more.
Why does a receipt fade in the first place?
A till receipt fades because it is not printed with ink. The text is created by a chemical reaction inside the paper itself. Thermal paper carries a coating of dye and developer. The print head in the till heats specific spots, the two substances react there and turn black. There is no ink sitting on the paper, only a reaction that has taken place.
The problem is that this reaction is not stable. Anything that attacks the coating makes the text paler or turns the whole paper dark. The most common causes are:
- Heat: a car in summer, a windowsill, a spot near a radiator. The paper often turns grey or black.
- Light: direct sunlight or bright office lighting over months.
- Plasticisers from plastic: clear sleeves, plastic folders and some wallets dissolve the coating. The receipt becomes patchy or blank.
- Friction: a receipt that spent weeks in a trouser pocket loses print along the folds.
- Moisture and solvents: hand sanitiser on your fingers, water, grease.
A receipt kept cool, dark and dry in a paper envelope often stays readable for years. One in a wallet sometimes lasts only a few months. How fast this happens is covered in scan paper receipts before they fade.
How can I make a faded receipt readable again?
Start with the gentlest method and escalate only if it is not enough. Every method can also damage the receipt further, so photograph it first, exactly as it is.
- High-contrast scan: photograph the receipt in good light and raise the contrast and black point in an image editor, or convert to greyscale. Faint traces of print often become surprisingly clear. A scanner mode like the one Belego uses when photographing already boosts contrast during cropping.
- Backlight and raking light: hold the receipt against a window, or shine a torch across it at a flat angle from the side. The print head slightly altered the printed spots, and that sometimes shows up in raking light.
- Check the back: on thin thermal paper the print occasionally shows through mirrored on the back. Photograph it and flip the image in an editor.
- Careful heat: hold the receipt at some distance above a hairdryer on its lowest setting, or lay it briefly on a warm (not hot) surface. The whole paper darkens, and the spots that already reacted often stay lighter or stand out differently. This is an all-or-nothing attempt: too much heat and the receipt turns black and is unreadable for good. That is why you photograph it first.
- UV light: under a UV lamp, traces of print sometimes emerge. It does not work on every paper, but the attempt carries no risk.
What to avoid: ironing with direct contact (too hot, too uneven), chemicals such as alcohol or nail polish remover (they dissolve the coating completely), and tracing over the text with a pen (that alters the receipt and makes it worthless as evidence).
What if the receipt is completely unreadable?
If nothing is recognisable any more, you need substitute evidence. A receipt exists to prove a purchase, and there are several ways to do that:
- Bank or card statement: shows date, merchant and amount. For warranty claims and many tax purposes this is often enough together with the faded original.
- Copy from the shop: larger retailers can reprint a receipt using the date, time or card payment. The sooner you ask, the better.
- Order confirmation or email: for online purchases and increasingly in shops there is a digital receipt anyway; see digital receipts and e-receipts.
- Self-written receipt: for small amounts you can create a replacement yourself with date, merchant, amount, purpose and the reason the original is missing. Switzerland and Germany handle this somewhat differently, and lost a receipt? explains what counts as a replacement.
Keep the faded receipt regardless. Even a pale slip often still shows the shop's layout and supports the credibility of the replacement.
Overview: which method when?
| Condition of the receipt | Method | Risk |
|---|---|---|
| Grey, digits still guessable | High-contrast scan, raking light | None |
| Almost white, isolated traces | Heat at a distance, UV light | Receipt may turn black |
| Patchy from a plastic sleeve | Contrast scan of the intact areas | None |
| Completely blank or black | Replacement: statement, shop, self-written | No original left |
With the heat method, expect that it can destroy the receipt just as easily as it can recover it. It is the last attempt, not the first.
How do I stop receipts from fading?
The only reliable solution is a scan right after the purchase. A PDF does not fade, and the requirement for a receipt is that it is readable and complete, not that it is made of paper. For the 10-year retention obligation in Switzerland under Art. 958f of the Code of Obligations (OR), digital receipts are explicitly permitted as long as they remain unchanged and legible.
A simple routine that works in everyday life:
- Scan the receipt with your phone in the shop or that evening. With Belego it is cropped, straightened and saved as a PDF automatically, and the amount, date and merchant are extracted.
- Put the paper in a paper envelope for warranty purposes, not in a clear plastic sleeve, and store it cool and dark.
- Add a note to receipts that matter for warranties (device, warranty period) so you can find them in two years. What applies to warranties and returns is covered in receipts for warranty and returns.
- Save the export ZIP as a backup once a year.
If you need receipts for bookkeeping regularly, this solves two problems at once: fading and searching.
Frequently asked questions
Can I make a faded receipt readable with a hairdryer?
Sometimes, yes. Warm air at a distance darkens the thermal paper evenly, and the spots that were already printed often stand out as lighter text. The effect is irreversible, though, and too much heat turns the paper black. Photograph the receipt first, use the lowest setting and work in short bursts.
Is a faded receipt still valid for a warranty claim?
What counts for a warranty is proof of purchase, not the paper itself. A faded slip together with a bank or card statement is accepted by most retailers. A scan taken right after the purchase is safer still. Without any evidence at all, it comes down to the goodwill of the shop.
Will the tax office or my accountant accept a faded receipt?
A receipt has to be legible. If it no longer is, you need a replacement, such as the bank statement, a copy from the shop or, for small amounts, a self-written receipt with date, amount, merchant and purpose. Your accountant can tell you which form is sufficient in your case. The faded slip itself is still worth attaching.
Why did my receipt turn black instead of pale?
That is heat. The entire thermal paper reacts the way it should only have reacted at the printed spots in the till. Typical triggers are a car in the sun, a windowsill or a radiator. A blackened receipt is usually beyond saving because text and background are now the same colour.
How long does a till receipt stay readable?
It depends on storage. Kept cool, dry and dark in paper, many receipts stay legible for years. In a wallet, in a plastic sleeve or in a car the print can disappear within a few months. Because you cannot always control the storage conditions, a scan right after the purchase is the only method without residual risk.
